Job Description

Providing high-level administrative support involving efficient handling of top & confidential correspondence, management of document flow, attending visitors & directing various queries to relevant departments 
Arrangements of Travel, Accommodation and Conference/Presentation/Meeting etc. 
Coordinate with Area Tax Managers for data collection etc. 
Payment of all the bills & maintaining the copies 
Prepare TERs / MRFs 
Coordination & checking of TERs of all reporting to Regional Tax Manager (APAC)
Routine hard copy / email communication & filing of key documents / papers appropriately 
Scheduling meetings, maintain appointment calendar. Blocking conference room. 
Taking Minutes of meetings.
Managing the back Office operations from travel bookings, hotel arrangements, Customer meetings, employee meetings, including maintenance of records, database management, preparation of Power Point presentations, Excel charts on financial data, employee statistics, confidential personnel records up-dating, travel expense reporting 
Fixing appointments and Managing Calendar 
Ensuring authenticity of data and releasing payments 
Tracking budget on monthly basis & expenses data for Region 
Vendor Payment management 
Keep track of all AMC and contract renewals 
Make all required travel arrangements for tours including air / train / car / hotel bookings / Visa / Forex etc. Coordination with all service providers to get pertinent bills related to TER , MRF and credit notes in time. 
Assist in preparing for meetings by assisting in drafting presentations, printouts and folder presentations & collating meetings notes 
Coordinate joining requirements for all new employees - Laptops , E - Pass , Lotus Notes & Outlook ID , Amex Cards , Mobile , etc.
